What can be used as a scanner?

You can use different devices as a scanner. Use what's accessible to you:

1. Android smartphone or tablet with the Eventcube Scanner app installed.

2. iPhone with the Eventcube Scanner app installed - Coming soon.

3. Web browser using mobile devices with cameras. Visit: https://manage.eventcube.io/scanner.

4. Scanner with laser pointers

For handheld scanner recommendations, please contact the Eventcube Support team via the Eventcube admin.

How to register a scanning device and connect it to your event

1. Coordinate with the event organizer or ticket store owner and ask for the following information:

  • QR code — scan this on your scanner device to go directly to the scanner login page. The URL is also displayed below the QR code if you prefer to type it manually.

  • Device PIN — a four-word passphrase (e.g. car-sweet-lucky-smooth) that you'll enter on the scanner device to authenticate. You can also click the code icon on the left-hand side of the passphrase to scan the login QR code instead of entering the passphrase.

2. Scan the QR code or navigate to the scanner login URL shown in the panel.

3. On the login page, select the Device PIN tab.

4. Enter the PIN displayed in the connection panel or click the "Scan QR Code" link to scan the log-in QR code.

5. Tap Sign In.

When you're successfully logged in, you’ll see the event list for which you have scanning access. Then, select the event you will be scanning tickets for.

How to immediately start scanning tickets

1. Upon selecting an event, the scanner interface opens.

2. Click “Start Scanning” to open your device’s camera.

3. Proceed to scan QR codes at your event.

Different types of scanner feedback

Successful Scan. Look for this feedback each time you scan a QR code. This means that a QR code is valid. It also displays the attendee's name on the screen, helping verify identification before check-in. Successful scans also display the ticket barcode you scanned in the confirmation pop-up.

Blocked Entry. This means the QR code has already been scanned, and the customer may have presented a duplicate ticket. The screen also shows the date and time the code was first scanned.

No Tickets Found. This means the QR code presented is for a different event, preventing customers with invalid tickets from attending.

How to manually check in guests

In some cases, organisers are not scanning QR codes and prefer a higher-touch approach to guest check-in. With the Eventcube Ticket Scanner, you can manually check in guests.

1. Look up the guest’s name in the event order list.

2. Select their ticket.

3. A new page opens with the attendee’s details. Click “Check-In”.

4. All check-in guests will be grouped under Guests > Checked In.

5. Meanwhile, guests who haven’t arrived will be grouped under Guests > Outstanding.

How to manually check out guests

1. Go to Guests > Checked In.

2. Look up the attendee’s name and select their ticket.

3. Verify the information on the screen and click “Check out” at the bottom.

Frequently asked question

Can I use multiple devices simultaneously to scan tickets at the door?

Yes, you can use multiple devices (phone, tablet, etc.) to scan tickets, provided that each device is logged in to a different Admin user account.

Make sure to add door staff as new users with Admin access to your store. Using their EC Scanner App or a web browser, they need to log in to their Eventcube account, select the event they're scanning for, and start scanning.

Please also ensure that all devices have a strong internet connection to avoid syncing issues.
